WeldTrace follows a strict no delete policy - meaning users cannot fully delete records or data from the system — for several technical, legal, and business reasons. Some of them are:
- Traceability & Accountability:
- WeldTrace, as a SaaS platform that deals with traceability, quality management, and document control must preserve:
- who created/modified what and when;
- history of changes and deletions;
- deleting data could break the chain of traceability, leading to loss of accountability.
- Data Integrity & Referential Constraints:
- In relational or graph-based systems, deleting one entity (like a user or a document) might leave orphaned records or break relationships;
- Instead, the system marks items as inactive, archived, or soft-deleted (hidden from the UI);
- Legal Liability & Evidence Preservation:
- Deleting data could open the company to liability, especially if that data is later needed in a legal dispute;
- Business Continuity and Recovery:
- Retaining historical data helps businesses
- recover from user errors;
- analyze past trends;
- Deleting records could disrupt this continuity;
- Audit and Compliance Requirements:
- Industries like finance, healthcare, and manufacturing are subject to strict regulatory requirements.
- Data related to actions, records, or users may need to be retained for a fixed period (e.g., 7 years) to meet audit trail or traceability obligations.
- E.g., ISO 9001, FDA 21 CFR Part 11, and SOX compliance all expect immutability in records.
Exceptions:
Some Welder qualifications can be deleted. Please check this article for the conditions that must be satisfied to delete the WPQs;
Alternative:
- As an alternate option for deleting records, WeldTrace offers facilities to archive data, so that they cannot be used and are normally hidden from view. These include projects, drawings, WPS, etc. WeldTrace uses the terms "archive" and in most cases the status label "active" and "inactive";
